Hong Kong Baptist University, Office of the President and Vice-Chancellor Records
Scope and Contents
This collection is comprised of the records originally kept in the President's Office, covering a wide range of subjects that usually span more than one president's tenure. Materials related to the Vice-President's work can also be found in this collection. The materials in this collection are composed of correspondence, reports, meeting minutes, and other administrative documents. It is important to note that other materials of the President's Office can be found in the respective Papers of the presidents.
Many materials in this collection relate to the tenures of Dr. Lam Chi-fung and Dr. Daniel Tse. This is due to the unfortunate passing of Dr. Lam during his term, and the same secretaries continued to serve his successor, Dr. Tse. Consequently, some projects were handed over to Dr. Tse, and the records were filed together. Dr. Lam's records remained with the office until Dr. Tse retired.
The collection is organized into eight series.
Series I: Constitution and Ordinance of the Hong Kong Baptist College (1955-1988, undated) mainly contains drafts and revisions of the Constitution and Ordinance of the Hong Kong Baptist College.
Series II: Campus Development (1957-1996, undated) contains materials concerning the building and development plans for the Ho Sin Hang Campus and the Shaw Campus. The content not only covers the construction of individual buildings, but also the government reports, the foundation stone laying ceremony of the Shaw Campus, and the redevelopment projects of the Ho Sin Hang Campus in the 1980s.
Series III: Academic Affairs (1965-1998, undated) contains materials concerning the accreditation of academic programs, reports by external examiners, minutes of Junior Division Program Study Sub-Committee, course planning, closure of Civil Engineering Department, and development on continuing education, etc.
Series VI: Student Affairs (1958-1988, undated) mainly contains correspondence, minutes and reports related to university life of students, such as student admission, associations, scholarship, Homestay programs and correspondence between the Student Union and the presidents. It also contains the constitution, working reports and meeting minutes of the Student Union.
Series V: Campus Event (1948-1989, undated) mainly contains the materials related to HKBC activities, such as anniversary celebration, fund-raising campaign and forum. The materials include correspondence, articles, clippings, invitations, programs, and speeches. Please note that more information about the memorabilia created in those activities can be found in the Hong Kong Baptist University Anniversaries Celebration Memorabilia (UA.06).
Series VI: University Relations (1953-1998, undated) contains materials documenting the University's relationships with individuals and institutions, or specific types of correspondents: Southern Baptist Convention, Pui Ching Middle School, Friends of Hong Kong Baptist College,and the Government, etc.
Series VII: Administration (1956-1997, undated) mainly holds materials generally related to the administrative matters of the University, including meeting minutes of different committees, discussion on faculty and staff development, and some administrative matters in the Library, as well as some university's financial records can be found in this series.
Series VIII: President's Office (1953-2011, undated) holds materials directly related to the presidents' work. There is extensive correspondence, of which the original arrangement is generally retained. They are sorted chronologically if no preliminary reference list was found attached. Also in this series are the reference materials, congratulation letters, memoranda, etc.

Access to certain records are restricted in accordance with university policy and applicable law.
Anyone using this collection must sign an Agreement to use the UA.01 Hong Kong Baptist University, Office of the President and Vice-Chancellor Records. Copying of unpublished material is prohibited.
Biographical / Historical
During the period covered by these records, the University had four presidents: Dr. Lam Chi Fung, Dr. Daniel Tse, Prof. Ng Ching Fai, and Prof. Albert Chan.

Arrangement
The records are organized into eight series. Generally, the series or subseries are arranged chronologically, with the exception of Series VI: University Relations, which is arranged by specific group first and then the prominent organization alphabetically for easier access to the records documenting the relationship between the University and that particular unit.
For most of the folders, the original order of the content is retained. Those original folders that are too large to be properly stored are splited into several adjacent folders.
Immediate Source of Acquisition
The materials have been irregularly transferred from the Office of the President and Vice-Chancellor to the Special Collections & Archives since 2001.

Further accruals are expected.
Processing Information
In the process of organizing folders, it's important to retain the original titles as much as possible. However, when the original titles don't accurately reflect the content, it's necessary for the archivist to derive new titles based on the actual content.
Additionally, when handling documents, we replaced rusted paper clips with ones wrapped in plastic to prevent damage, and to make photocopies of letters printed on thermal facsimile paper and keep them alongside the originals.
